Privacy & cookie policy

The short version

Fast Track Leasing is a trading name of HDCH Limited. We’re an independent introducer for short-term vehicle hire — we match you with a rental supplier from our approved panel. To do that, we collect the details you give us and, with your agreement, pass them to the supplier best placed to help. We don’t sell your data, we’re upfront about the cookies we use, and you can ask us to show, correct or delete your information at any time.

Who we are

The data controller is HDCH Limited (“we”, “us”, “our”), trading as Fast Track Leasing, a company registered in England & Wales under company number 16237398. Our registered office is Unit 12 Yeomanry Road, Battlefield Enterprise Park, Shrewsbury, Shropshire, SY1 3EH. We are registered with the Information Commissioner’s Office (ICO) under registration number [ICO registration number — to be added].

We are an independent introducer of short-term vehicle leasing and rentals — not the rental supplier. We connect you with approved suppliers, and any rental agreement is made directly between you and the supplier.

The information we collect

When you use our enquiry or application forms, we may collect:

  • Contact details — your name, email address and phone number.
  • Your requirements — the type of vehicle, your budget, preferred hire term and timing, and any vehicle you enquired about.
  • Eligibility details — if you choose to share them: your self-reported credit situation, and (in the full application) date of birth, address and address history, employment and affordability information, and supporting documents you upload (such as proof of ID, address or income).
  • Your declaration — an electronic signature and the consents you give on the form.
  • Technical & usage data — IP address, device/browser information, the pages you visit, and referral/advertising identifiers (for example Google/Meta click IDs and UTM campaign tags) where present.

You don’t have to give us this information, but we can’t make an introduction without the basics (your contact details and what you need).

How we use your information, and our legal bases

  • To respond to your enquiry and make an introduction — so we can match you to a suitable rental supplier and they can contact you. Lawful basis: taking steps at your request prior to a contract, and our legitimate interests in operating an introducer service.
  • To run and improve our service — handling queries, preventing fraud and abuse, keeping records, and understanding how the site is used. Lawful basis: our legitimate interests.
  • Marketing — sending you offers and updates where you’ve asked us to. Lawful basis: your consent (which you can withdraw at any time).
  • Analytics & advertising cookies — only where you’ve accepted them. Lawful basis: your consent.
  • Meeting our legal obligations — for example responding to lawful requests. Lawful basis: legal obligation.

Getting a quote or enquiring leaves no mark on your credit file — we don’t carry out credit checks. Any checks are run later by the supplier you’re introduced to, only with your permission.

Who we share it with

We share your information only where needed to provide the service:

  • Approved rental suppliers / partners — when we introduce you, we pass your details to the supplier best placed to help so they can contact you and arrange your hire. We’ll only ever share with a vetted partner, and only what’s necessary for the introduction.
  • Service providers who process data on our behalf, under contract and on our instructions:
    • Airtable — secure storage of enquiries/applications (our CRM).
    • Brevo — sending transactional and (where consented) marketing emails.
    • Cloudflare — website hosting, security and bot protection (Turnstile).
    • Google — website analytics and tag management (Google Analytics, Google Tag Manager), and advertising measurement.
    • Meta (Facebook/Instagram) — advertising measurement, where you’ve accepted marketing cookies.
  • Professional advisers and authorities — where required by law or to protect our rights.

We do not sell your personal data.

Cookies & similar technologies

We use cookies to keep the site working, to measure how it’s used, and — with your consent — for advertising. When you first visit we ask for your choice and nothing non-essential runs until you accept. We use Google Consent Mode, so analytics and advertising tags stay switched off until you opt in.

  • Essential — always on; needed for the site to work, to remember your cookie choice and to keep forms secure. No consent required.
  • Analytics — Google Analytics, to understand and improve the site. Only with your consent.
  • Marketing — Google and Meta advertising/measurement. Only with your consent.

Sending data outside the UK

Some of our service providers are based outside the UK (for example in the USA or EU). Where your data is transferred internationally, we rely on appropriate safeguards — such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum — so it stays protected to UK standards.

How long we keep it

We keep enquiry and application data only as long as needed for the purposes above — typically up to 24 months after your last contact with us, unless we need to keep it longer to meet a legal obligation or resolve a dispute. Marketing data is kept until you unsubscribe. We then delete or anonymise it.

How we protect it

We use appropriate technical and organisational measures — including encryption in transit, access controls and vetted processors — to keep your information secure. No transmission over the internet is ever completely secure, but we take reasonable steps to protect it.

Your rights

Under UK data protection law you have the right to:

  • access a copy of the personal data we hold about you;
  • have inaccurate data corrected, or incomplete data completed;
  • have your data erased in certain circumstances;
  • restrict or object to our processing in certain circumstances;
  • data portability;
  • withdraw consent at any time (without affecting processing already carried out).

Marketing

We’ll only send you marketing where you’ve agreed to it. Every marketing email has an unsubscribe link, and you can opt out at any time by emailing us. Opting out of marketing won’t stop service messages about an enquiry you’ve made.

Children

Our service is for adults (18+). We don’t knowingly collect data from children.

Changes to this policy

We may update this policy from time to time. We’ll change the “last updated” date above when we do, and any significant changes will be highlighted on the site.
